Recognition and Renewal for Returning Student Organizations

All student organizations must complete the Recognition and Renewal (Rec & Renewal) that want to be active and recognized by the university must complete this process through SLIC every academic year (Fall - Spring)! 

As a reminder, student clubs/organizations connected to departments are not exempt form this process and must also complete Rec & Renewal annually! 

Below are all the items that need to be completed for your organization to be listed as a Recognized Student Organization (RSO) through the Student Leadership and Involvement Center (SLIC). 

Completing this process will ensure that the student organization will have all rights and privileges for RSOs. If you have questions or concerns, contact studentorgs@csueastbay.edu.

STEP 1 - COMPLETE RECOGNITION AND RENEWAL FORM IN BAYSYNC

NOTE: The PRESIDENT (or equivalent position) should be the one completing this form. No exceptions.

  1. Login to BaySync () with your Net ID and password
  2. Navigate to “Forms” and locate the “BaySync” tab
  3. Click on the form named [RSO] Recognition and Renewal Form for Returning Student Organizations the form will ask for the information listed below:
    • Organization Information
      • Full name, abbreviated name, organization email, category
    • Officer Information - You must submit all members who hold a position (up to 20)
      • President and Treasurer positions are required
      • Name, position, net id, horizon email, phone
    • On-Campus Advisor Information
      • Name, CSUEB email, title, department
      • Off-Campuis Advisor information if applicable*
    • Organization Goals
      • Goal(s) for the academic year, planned large events, how many members does your organization have
    • Upload the Constitution and Bylaws ()
      • Organization's constitution must be reviewed annually
      • The constitution must include the following areas (similar or equivalent): Name, Purpose, Authority, Membership, Officer (duties), Selection Process of Officers, Meetings, Advisor, Banking/Finance, & Amendments
      • If the constitution is missing any required areas, the organization will NOT be recognized until documents are approved by SLIC

STEP 2 - COMPLETE RSO OFFICER TRAINING

All Presidents and Treasurers are required to complete RSO Officer Training. Officers will be added to the canvas course once the Rec & Renewal Registration Form is received by SLIC. The President and Treasurer will also be designated Page Admin for the BaySync portal.

Topics that you will be reviewing in the modules will be:

  1. Becoming a Recognized Student Organization (RSO)
  2. RSO Policies
  3. Campus Policies
  4. Events & Reservations
  5. Finances / AS Accounts
  6. Fraternity/Sorority Organizations* (for FSL orgs only)

When completing the Canvas Course, you will need to complete each module with at least a 90% to move forward and complete the course. The NAAT (Non-Discrimination Policy, Anti-Hazing Policy, Alcohol/Tobacco/Other Drugs Policy, and Title IX Policy) and Financial Agreement will be submitted via Canvas.

Officers must also attend the Fall Leadership Conference and/or Spring Leadership Symposium annually as part of Officer Training.

STEP 3 - RSO ON-CAMPUS ADVISORS COMPLETE FORM

Every student organization must have a CSUEB faculty/staff (or part of auxiliary) member that serves as the student organization’s On-Campus Advisor. Student orgs can have co-advisors, both advisors must complete the [RSO] On-Campus Advisor Form. 

It is the responsibility of the student organization to find an On-Campus Advisor and remind the advisor to complete the necessary requirements. 

Student orgs can have Co-Advisors, both advisors must complete the [RSO] On-Campus Advisor Form

  • Log into BaySync () with your Net ID and password.
  • Navigate to “Forms” and locate the “BaySync” tab.
  • Click on the form named [RSO] On-Campus Advisor Form (or [RSO] Off-Campus Advisor Form).
  • Complete and submit the form for review by SLIC RSO Staff.

Off-Campus Advisors (alumni, nationals representative, etc.) are allowed but not required. The officers must complete the [RSO] Off-Campus Advisor Form on behalf of the advisor to give permission for communication to the individual(s).
